Problem :
ScaleRx was aiming to become a fully digital pharmacy, offering its gateway of drug fulfillment to many physical and digital clinics, what stood in their way was the amount of manual processes, that had to be completed by slow, error prone, and sometimes unavailable staff. The time it took staff to enter data into the PMS exceeded 120 hours/week, and that number would only get worse as they grew.
Solution :
I spent around 1 week shadowing different members of the pharmacy, understanding and documenting the process, while asking questions to understand why certain things were done in a particular way. What I found was most of the processes were random, inconsistent, and mostly followed what each staff member was comfortable with. But, what I also found was an enormous opportunity to automate and regulate workflows across the entire pharmacy.
Challenge:
The Pharmacy Management System (PMS), named as Kroll, was a Blackbox, forced on pharmacies across the country by the College of Pharmacists. Kroll had absolutely no API access, nor ability to get access automate things the traditional way.
Result and final solution
I was able to develop a custom Bot that has the capability to enter all data into Kroll, from almost any source, this Bot leveraged Optical and Machine language to identify fields, buttons and windows, while also adapting to any UI or id changes that might occur as Kroll was updated over time.
The final result brough time savings of over 100 hours/week, and cost was brought down by over 40 percent !
ScaleRx now serves multiple high volume online clinics that offer a range of treatments.
